A family digital legacy and emergency access checklist
A private record is useful only if the right person can reach it at the right time. This checklist helps families prepare continuity without passing plaintext secrets through email or chat.
Start with outcomes, not a pile of passwords
A family continuity plan should answer specific questions: who pays an essential bill if one person is unavailable, who can find an insurance policy during an emergency, who can close or preserve an online account after death, and which records must remain private even from other family members today. Copying every password into a shared note creates exposure without answering those questions.
Build a small inventory of responsibilities first. Include primary email and device accounts, financial and insurance contacts, household services, domain names, important subscriptions, crypto custody instructions, identity documents and any account with a formal beneficiary or succession process. Assign roles deliberately
- Owner: maintains the record and decides who may receive it.
- Trusted contact: knows that a continuity plan exists and where to begin.
- Beneficiary or executor: may receive information after a defined event, subject to law and provider rules.
- Household member: needs routine access to selected shared records but not the owner's full private vault.
One person can hold several roles, but write them down. A family relationship does not automatically grant legal authority over an account, and a digital-will instruction does not replace a jurisdiction-specific legal will.
Separate routine sharing from emergency release
Wi-Fi, household subscriptions and a shared insurance reference may belong in a family workflow today. A personal diary, private identity record or crypto recovery phrase may require a different release condition. Keep routine collaboration separate from emergency access so ordinary convenience does not expose the whole private vault.

Create an offline recovery envelope
Zero-knowledge means IronVault support cannot reset a forgotten vault master password to decrypt an existing vault. Keep an offline recovery record in a secure physical location. It can identify the vault, the trusted contact, where legal documents are held and how to find the next instruction. Do not place the only copy of the master password or seed phrase in the same device bag as the unlocked phone.
Use tamper-evident storage appropriate to the household, and record the date of the last review. The envelope should reveal only what the authorised person needs. If a bank, exchange or service has a formal estate process, include the official contact route rather than attempting to bypass it with a password.
Document each high-consequence record
For each critical item, record:
- What the account or document is for.
- Who owns it and who should act if the owner is unavailable.
- Whether access is routine, emergency-only or after death.
- Which official recovery, beneficiary or executor process applies.
- Where the current encrypted record and any physical original are kept.
- When the instruction was last tested or reviewed.
A title such as 'bank login' is not a continuity instruction. A useful record explains the intended action without placing unnecessary plaintext in a message or printed list.
Run a safe annual drill
- Confirm the trusted contact still agrees to the role.
- Verify that contact details, beneficiaries and legal documents are current.
- Test access with a synthetic record or a revocable low-risk item.
- Confirm family members can distinguish shared records from private ones.
- Review device access, recovery codes and offline copies.
- Remove instructions for closed accounts and document the review date.
Do not consume the only recovery code during a drill. Do not send a real master password through email or chat to prove the process works. The goal is to validate navigation, identity and responsibility while keeping high-risk secrets protected.

What this cannot solve
An encrypted family vault cannot grant legal authority, override a provider's estate policy, prove that an instruction is valid under local law or guarantee that a beneficiary can access an external account. It cannot protect secrets shown on an infected or unlocked device, and it cannot recover a forgotten vault master password on the family's behalf.
Consult a qualified legal professional for wills, powers of attorney, trusts, business succession or jurisdiction-specific estate requirements. Use provider beneficiary tools where available. A simple first weekend plan
Choose five records: primary email recovery, device account recovery, one insurance policy, one essential household payment and one official legal-document location. Assign an owner and trusted contact, add only the necessary context, create the offline recovery envelope and schedule a review in three months. Expanding from a tested five-record plan is safer than importing hundreds of secrets into a process nobody has rehearsed.
